Do This With Me Wellness ("we", "us") is the data controller of the personal information you share when you use our app. This notice explains what we collect, why, and your choices.

A note on health information

Do This With Me Wellness is a wellness and coaching product. It is not a covered entity under HIPAA and is not designed for use as a HIPAA-regulated service. Please do not upload protected health information intended for a HIPAA-regulated workflow. We still treat the information you share (weight, food, movement, mood, measurements, squad conversations) with care and follow the practices described below.

What we collect

• Account: email, password (hashed), preferred name, optional phone.
• Profile: gender identity, age, avatar, goals, barriers, dietary preferences you enter.
• Wellness logs: weight, food, water, movement, mood, non-scale victories, measurements you choose to record.
• Community: squad membership, messages, reactions, reports.
• Usage / device: pages viewed, actions taken, IP address, browser and device information for security and product improvement.

How we use it

• To provide the Service and personalize your coaching, goals, and progress views.
• To operate squads and community features you opt into.
• To secure the Service, prevent fraud and abuse, and enforce our terms and community standards.
• To communicate with you about your account.
• To improve the product (aggregate, non-identifying analytics where possible).

Legal basis

Where applicable law requires one, our legal basis is performance of the contract with you, our legitimate interests in operating and improving the Service, your consent for optional features, and compliance with legal obligations.

Who we share it with

• Service providers: hosting, database, authentication, email, and analytics vendors that process data on our behalf.
• Payment provider (Merchant of Record): Paddle handles all payments, subscriptions, tax, and invoicing. Paddle acts as an independent controller for payment data.
• AI coaching: messages you send to the coach are processed by our AI provider to generate a response. We do not use your data to train third-party models.
• Squad members you invite: only the information you choose to share with them.
• Legal: when required by law, court order, or to protect rights and safety.

Retention

We keep your data while your account is active and for a reasonable period afterward for backup, dispute resolution, and legal compliance. You can delete your account at any time from Settings; we will delete or anonymize personal information no longer needed.

Your rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict use of your personal information, and to withdraw consent. Email Phylliseducatesk12@gmail.com to make a request. If you are in the EEA/UK, you may also complain to your local data protection authority.

Security

We use appropriate technical and organizational measures — encryption in transit, access controls, row-level security on user data, and audit logging of administrator actions — to protect your information. No system is perfectly secure.

International transfers

Our service providers may process your information in countries other than yours. Where required, we rely on standard contractual clauses or equivalent safeguards.

Cookies

We use cookies and similar technologies that are strictly necessary to keep you signed in and to operate the Service.

Children

The Service is not directed to children under 13, and we do not knowingly collect their information.

Changes

We may update this policy. Material changes will be highlighted in the app.
